A: Position Summary:
The successful incumbent will assist the Business Development Manager(s) with their administration.
B: Responsibilities:
1) Efficient and accurate sales administration:
- Ensure that quotes are sent out with the most current prices by obtaining prices from suppliers and updating the internal system.
- Record accurate client details, products and requirements applicable in quotes and proposals.
- Submit completed quotes and proposals for internal authorisation.
- Prepare the relevant contract depending on the option selected and ensure it adheres to the deadlines set.
- Follow up on quotes and/or proposals sent to clients.
- Ensure that the relevant financial documentation is sent to the client and received back fully completed. Provide feedback to the client on the status of their account to the client.
- Ensure that invoices have been sent to the client and that the proof of payment has been received.
- Ensure that all pricing is valid at the time of acceptance of the quote by the client.
- Report any significant pricing discrepancies and ensure the relevant documentation is revised and authorised.
- Upon the client’s acceptance of the quote, collate all the relevant documents and create the project file. Thereafter submit it to the relevant department.
- Set up appointments with new clients and ensure that Business Development Manager(s) have confirmed the appointment.
2) Efficient and accurate tender and vendor applications:
- Review all tender requirements.
- Request the relevant internal documentation ensuring that all deadlines are adhered to.
- Ensure that all current pricing is requested from the relevant suppliers and complete a quote.
- Gather, evaluate the validity of and compile all the required tender documentation.
- Ensure that the tender documents are authorised by the relevant person.
- Ensure that a copy of all documents and requirements is retained prior to submission.
- Arrange for submission with the relevant Business Development Manager(s).
3) Development of excellent customer relations:
- Ensure that all correspondence with the client is accurate and concise.
- Ensure that all feedback to clients is timeous.
- Adhere to timelines given to clients and manage their expectations appropriately.
4) Ensure that all knowledge and industry requirements are met:
- Attend all training provided.
- Stay abreast of all competitor practices and industry related products.
- Ensure that all tender submissions are competitive with our competitors whilst ensuring that they are profitable.
C: Education and Experience:
- Matric
- Valid driver’s licence and own car
- Microsoft Office
- Syspro system experience
- Tele-Sales Experience
- Relevant sales courses or qualification will be an advantage
- Audio Visual qualification/s and/or experience will be advantageous
